What information the Club may hold about you, and why

Bedford Harriers Athletic Club (the ‘Club’) takes its Data Protection Act obligations of fair processing and security of personal information seriously.  We may hold and use personal information, including sensitive information, (which would include matters such as medical details) about our members, potential members and other relevant individuals in order to provide you with details about Club events and related matters. 

How the Club itself may use your personal information

We may use your personal information to process any transactions you undertake with us, for internal administration and analysis, to publish event results and individual photographs on the Club’s website and notice boards or to tell you by post, phone, fax or email about events that the Club is organising or involved in.  We may also use your personal information to contact you by post, phone, fax or email with details about events, products or services offered by other athletics or related bodies which we think may be of interest to you. 

Contact by the Club may be made by Committee members, Club officers, team captains or nominated events organisers.

How the Club may allow third parties to use your personal information

We will disclose personal information to third parties outside the Club only where permitted or required by law, or when it is necessary for provision of the Club’s services to you.  We will not sell, rent or trade your personal information to third parties for marketing purposes. 

How you may obtain the Club’s data protection registration details and a copy of the personal information that the Club holds about you

The Club’s purposes for holding personal information, and a general description of the categories of people and organisations to whom we may disclose it, are listed in the Data Protection Register.  You may inspect this or obtain a copy from the Information Commissioner’s Office at mail@ico.gsi.gov.uk or www.informationcommissioner.gov.uk or Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.  Under the terms of the Data Protection Act 1998 individuals may request a copy of the personal details which the Club holds about them.  In accordance with the Act an administration fee of £10 will be charged for providing this information.
